Profectus Align Privacy Policy
Effective October 7, 2026.
Profectus Align (“Align”) is a service of Profectus Application Solutions LLC (“we”, “us”, “our”). This policy explains what Align collects, why we keep it, who processes it for us and when it goes away. Questions go to align-support@profectusapps.com.
Align is for teachers and never asks for information about students.
Align helps educators align curriculum to standards and write rubrics. Accounts are for adult educators. Students should not create accounts.
Align has no field for a student’s name, score or date. We have no use for personally identifiable information about students, and Align is designed to work without any.
Many teachers upload a completed student paper as an example of top-level work. You are welcome to, once the student’s name and other identifying details are removed. Align checks every upload, headers and footers included, and refuses a file with a filled-in name field or a list of names with marks. It tells you why. Align cannot see identifying details written into the body of a piece of work, such as a personal story or a family business named in a write-up, so our Terms of Service ask you to remove those too. Align does not keep your uploads, and it will not draft a rubric level that quotes your material.
You need an account, and sign-up asks only about you and your work.
You need a signed-in account with a verified email address to upload or download anything in Align. Sign-up asks for your name, email address, a password, your role, your state (or that you are outside the United States) and, if you choose, your district’s name. A New York teacher picks their district from a public list. This is what we store about your account:
- Name, as you typed it.
- Email address, encrypted in storage under a key that only our production server can use. We also keep a one-way digest of it, which lets us hold each address to 1 account without storing the address in readable form.
- Email domain (the part after the @), stored unencrypted. Align uses it to recognize your school district or organization.
- Role, state and district. For a New York district picked from our list, we also keep its public BEDS code.
- Password, stored only as a hash. We cannot read it.
- Account activity: whether you have verified your email address, when you last signed in, how many workbooks you have downloaded, the days you answered “Not now” to a question Align asked, and when the account was created and last changed.
Because each address can hold only 1 account, the sign-up form tells anyone who enters an address whether it is already registered.
We record IP addresses to keep accounts and the service safe.
Each sign-in starts a session. We store the IP address it came from and your browser’s user agent (the line that names your browser and device). We keep these to investigate a suspicious sign-in and to answer your questions about one. A session expires after 7 days, and we delete its record 30 days after that.
To limit abuse, Align counts requests to its sign-in, sign-up and account pages per IP address and page, for every visitor, signed in or not. We delete each count 30 days after it was last used.
Align does not keep your uploads.
- Align reads each file you upload to build your preview, and keeps nothing from it.
- When Align drafts rubric levels, reads a standards document or proposes which standards an assessment covers, it sends text from your documents to the language model. We delete that text 1 hour after the job finishes.
- A draft may also carry up to 6 of your own rubric levels, as examples of how you write, and the levels you are replacing when you ask Align to draft again. Align takes your examples from the program you have open or, while your account has storage, from your own library. They go only into your own drafts, and they are deleted with the job.
- Align hands you each workbook to download. It keeps a copy only in a library, if you have one.
A library keeps your workbooks while your account has storage.
Your account has storage if you pay for the annual library subscription or belong to the Machine Learning Lab. A library holds the workbooks you download: what you and Align wrote, including Align’s earlier wording for a level you rewrote, and never a file you uploaded. Each program is kept until you delete it, and a later download of the same program replaces it. You can delete any program from the library screen at any time.
Your program file keeps Align’s original wording beside any level you rewrote, and counts of drafts, re-runs and the reasons you gave. If you share the file, you share those too.
A paid library never lapses for being unused. A Lab library whose owner has not signed in for 11 months gets a reminder email, and another at 12 months. If neither is answered, we take the account out of the Lab 30 days after the second reminder.
If your account stops having storage, because a subscription ends or you leave the Lab, each program in your library is kept for 30 days from that day. It then stops being available and is deleted shortly after. We email you the day storage ends and again 7 days before the programs go. The library screen and your data export show each program’s date. If storage returns within the 30 days, what is left comes back. Nothing is deleted the day storage ends.
The Machine Learning Lab trades free storage for help improving our products.
The Lab is optional. Members get a free library. In return, Profectus may use the programs kept in your library to get better at reading standards, aligning assessments and drafting rubrics, in Align and our other products. A publisher’s text is never used. Nothing of yours is ever shown to another teacher. We never sell Lab material.
You join and leave the Lab on your account screen. We record which version of the Lab terms you agreed to and the day you agreed, and your library is used only under that version. When you leave, we stop using your programs, and your library goes onto the 30-day rule above.
We use de-identified data about assessments and standards to improve our products.
Each time you download a workbook, we keep de-identified data about the program, recorded per course and per standard: for example, which kinds of assessments cover which standards, how many rubric levels you kept as Align drafted them, edited or wrote yourself, and how often you asked Align to draft again, and why. It holds no wording, and nothing in our database links it to your account. It includes the state on a program’s context card, which may be the one on your account if you choose it there.
Align also records its own estimate of how deep each task is, on Webb’s Depth of Knowledge, from the drafts it already makes. You never see it. It holds no wording and no account, and we keep it with no end date.
We use this data to improve Align and the rest of the Profectus family of products. Jumpstart Portrait, another Profectus product, receives only totals across at least 5 programs, never a single program’s data.
We record what each call to the language model costs, and never what it contains.
Each time Align calls the language model, we record the model used, how much text it processed, what it cost and whether it succeeded. These records hold no document content and are not linked to your account. We use them to understand what Align costs to run, and we keep them indefinitely.
Your credits are recorded in a ledger: each grant, purchase, spend, release and refund, with when it happened and how many credits moved. You can see it in your data export.
Stripe handles your payments.
Stripe processes every payment, by card, card wallet or Stripe’s Link. It holds your payment details and receipts, and runs the billing portal where you manage or cancel a subscription. We never see or store your card number. Stripe tells us what you bought and whether the payment went through. Stripe keeps its charge, invoice and tax records under its own privacy policy and retention rules.
We count teachers by district.
We count verified accounts by email domain or, for a New York account that picked its district from our list, by that district. We may share a district’s count with that district. We never share a count lower than 3, and a count names nobody. We never give a district a teacher’s name without that teacher’s consent.
After your third workbook download, Align asks once whether you want Align for your whole district. If you say yes, we may give your district your name, your email address and the day you said yes, even when fewer than 3 teachers from your district use Align. You can answer later, or take a yes back, on your account screen.
These companies process data for us.
| Company | What it does for Align | What it receives |
|---|---|---|
| Anthropic | Drafts rubric levels, reads standards documents and proposes standards coverage. Called only from our servers, on our account. | The text Align sends. Anthropic may not train its models on it. Anthropic deletes it within 30 days, except content flagged for violating its usage policy, which it may keep up to 2 years, and safety classification scores, kept up to 7 years. |
| Stripe | Payments, receipts and the billing portal | The payment details you enter, and a customer record we delete with your account |
| Resend | Verification, storage, renewal and account-move email | Your email address and the content of each email |
| Cloudflare | Turnstile, the bot check on uploads, downloads and drafts | Your IP address and details about your browser. Its script may set its own cookies. |
| Google Cloud | Hosting, file storage, the database and the key that encrypts email addresses | Everything Align stores, held in the United States |
We do not sell personal information. Align uses no analytics or advertising trackers.
Align uses one cookie, to keep you signed in.
Align sets one cookie, to keep you signed in. The bot check on the coverage screen loads a script from Cloudflare, which may set its own cookies under Cloudflare’s privacy policy.
You control your account and your data.
- Get a copy. Download everything Align holds about your account from your account screen: your name, address and domain, your role, state, district and district code, your sessions with when and where each began, your credit history and balance, your Lab membership, your subscription, the storage emails we sent, your workbook count, the days you put off a question, your last sign-in and your library. We do not send copies by email, because an email can come from anyone.
- Correct it. Change your name, role, state and district on your account screen. A role and a state can be changed but not removed. To change your email address, write to align-support@profectusapps.com from the account’s current address. The change takes effect when you follow the link we send to the new address, and we tell your old address that the account has moved.
- Delete programs from your library at any time.
- Leave the Machine Learning Lab at any time from your account screen.
- Delete your account from your account screen with your password, or ask support from the account’s address. Deleting it cancels any subscription and deletes your customer record at Stripe, then deletes your library, your account, its sessions and your Lab membership. Unused credits are forfeited. What stays: cost records, de-identified data and depth estimates, which never had a link to your account; your credit ledger rows, with your name removed; Stripe’s charge, invoice and tax records; and a one-way digest of your email address, kept permanently so the same address cannot claim new-account credits again. The digest cannot be turned back into your address.
- Email align-support@profectusapps.com with any other question about your data.
If you are in the European Union or the United Kingdom, you have further rights.
You have the rights above, plus the right to object to some uses of your data and to complain to your local data protection authority. We use your account data to provide Align to you under our agreement with you. We keep session records, request counts and the digest of a deleted account’s address, and we gather de-identified data, based on our legitimate interests in keeping accounts secure, preventing abuse and improving our products. Lab membership and the teacher champion opt-in rest on your consent, which you can withdraw at any time. Align stores data in the United States.
Align is not for children.
Align is for adult educators. We do not knowingly collect personal information from anyone under 18. If we learn that someone under 18 has created an account, we delete it.
We will tell you before this policy changes.
If we change this policy in a way that affects you, we will email account holders 30 days before the change takes effect. The effective date at the top shows the current version.
